Helping patients set up GP services

I want to set up my patients with online access to their GP services. How can I do this using Evergreen Life?

Anyone can create an Evergreen Life account. However, to link the account to your practice, the patient would need to first be fully registered with you. You can then create an online account for them using your clinical system and then generate the relevant codes to allow them to link. Let's look at how to set up online patient-facing services on the Evergreen Life app and website.

There are a couple of different ways for your patients to link their Evergreen Life account to your practice.

Online Registration

The first way would be that you (as the GP surgery) produce an Online Registration Document which will contain a number of codes that you can provide to the patient, which will allow them to link. The codes you generate will be entered by the patient after creating an Evergreen Life account.  

Using the website:

  1. Find practice (we advise that they search for your practice using the ODS code/Practice ID/Organisation code, which can be provided on their Online Registration Document).
  1. Confirm that they “have a letter or email from their practice” (this is the Online Registration Document).
  1. Enter date of birth, Account ID and Linkage Key (EMIS/Vision)/Passphrase(TPP).
  1. Clink ‘Link now’.

Using the app:

  1. Tap GP.  
  1. Tap ‘Link to your GP’.
  1. Confirm that they “have a letter or email from their practice” (this is the Online Registration Document).
  1. Find practice (we advise that they search for your practice using the ODS code/Practice ID/Organisation code, which can be provided on their Online Registration Document).
  1. Agree to Terms of Use.
  1. Enter date of birth, Account ID and Linkage Key (EMIS/Vision)/Passphrase(TPP).

Using NHS login

An alternative way for a patient to link their Evergreen Life account to your practice is by using the NHS login button. This allows a user to send a short video/photo and a form of photo ID to the NHS who can then confirm their identity and allow them link to link to your practice. Therefore, patients can do this remotely without having to visit the surgery.

**Quick tip** Patients can only use NHS login to link to your practice if they have never linked previously. If a patient needs to re-link, you will need to provide them with a new Online Registration Document.

Configuring Patient Facing Services for your practice

Patients at practices associated with EMIS, TPP and Vision/INPS are able to connect to their Patient Facing Services via Evergreen Life. Enabling PFS at this level does not necessarily mean every patient has to have the same settings. You can enable these overall practice settings and then also edit the settings at an individual patient level.

These overall practice settings will override any individual settings. So, if at a patient level Medical Records were enabled, but at an overall practice level they are disabled, the patient will not be able to view the records.

  1. Login to EMIS Web.
  2. Click on the EMIS button.
  3. In the drop-down menu select “System Tools” then select “EMAS Manager.”
  4. Check that ‘Patient Facing Services’ is enabled, indicated by a green tick.
  5. If not, then in the EMAS Manager screen select Patient Facing Services and click on the Activate Application button so that Patient Facing Services is ticked.
  6. Save all the changes.

Providing Patient Facing Services online access to patients

Once you have configured your practice to allow patients to access Patient Facing Services, you’ll need to give access to each patient, providing them with linking codes to allow them to link to you via their chosen supplier.

  1. Login to EMIS Web.
  2. Use the patient search to select the patient. In the EMIS menu select ‘Registration.’
  3. Select the ‘Patient Services’ tab.
  4. Click on ‘Add online user’ > ‘Add current patient.’
  5. Verify patient identity.
  6. The online registration letter (PIN document) will be generated. A dialogue box will be opened asking ‘How do you want to issue the PIN document?’ where you can print or email the document.

Resetting linking codes for patients who need to re-link their online services

If your patient has any difficulties linking or their account with a chosen provider becomes unlinked, you will need to reset your online registration document to provide them with new codes. It’s important that you reset these codes before reprinting or emailing.

  1. Select the patient using the patient search dialogue.
  2. Navigate to Registration and choose the ‘Online Services’ tab. For the appropriate user select the ‘View online user’ link.
  3. Click ‘Reset account key’ and print/email the document.
  4. The patient may now use the new codes in the normal way.

Configuring Patient Facing Services for individual patients

You may have configured your practice for Patient Facing Services, however you can configure the settings for individual patients to increase or decrease their level of access. It is important to note that any patient-wide configurations will supersede any patient level configurations.

  1. Select the patient for whom you want to set the options.
  2. Navigate to ‘Registration.’
  3. Click on the ‘Online Services’ tab.
  4. Click on the ‘View online user’ link.
  5. Highlight the patient, then click ‘Edit online user access.’
  6. Enable/disable any patient facing services in the ‘Online user screen’ then click OK: The patient now has the permissions you require.

Un-restricting patients’ online services for those who have partially linked

For EMIS practices, patients can use Online Registration to partially link their Evergreen Life account to your practice without the need for codes. This allows the patient to view restricted services and book one appointment. You will need to change the patient from a restricted to an active user to provide the patient will full access.

  1. Find the patient and browse to ‘Registration.'
  2. Select the Patient Facing Service tab. You will notice the patient has been marked as inactive with restricted access. Select ‘View Online Services.’
  3. Verify patient identity. The patient will now have full access to online Patient Facing Services.
  4. You will be asked if you want to print a pin document for the patient you will not need to print the PIN document for this user.
  5. Make sure Record Access has been enabled for the patient.

  2. Click on Setup, Organisation Preferences.
  3. Open the ‘Online Services’ section.
  4. Check each option in turn configuring it as you require.
  5. Click ‘OK’ to save the changes.

Providing Patient Facing Services online access to patients

Once you have configured your practice to allow patients to access Patient Facing Services, you’ll need to give access to each patient, providing them with linking codes to allow them to link to you via their chosen supplier.

  1. Use the search facility to find the appropriate patient.
  2. Select the ‘Administrative’ tab, then ‘Online Services’.
  3. Click ‘Register for Online Services’ in the main panel.
  4. Configure the services, as required.
  5. Select ‘OK’ to save the changes.
  6. Save the patient to complete registration, ensuring a passphrase has been printed or emailed.

  4. Choose ‘Issue or view new third-party passphrase.’
  5. Confirm identity and print (or email)the passphrase.
  6. Select ‘OK.’

  4. Choose ‘Add or remove services.’
  5. Set the services as you require them and click ‘OK.’
  6. Save the patient to set the changes.

  2. Click on ‘Modules’ -> ‘Control Panel’ -> Online.
  3. Select the services you want to offer to your patients.
  4. Click ‘OK’ to save the changes.

Providing Patient Facing Services online access to patients

Once you have configured your practice to allow patients to access Patient Facing Services, you’ll need to give access to each patient, providing them with linking codes to allow them to link to you via their chosen supplier.

  1. Open the ‘Registration’ module and search for the patient you wish to enrol.
  2. Select the ‘Online Services’ tab.
  3. Click the ‘Identification’ button, click ‘Add’ in the dialogue that opens. Set the details of the identification in the following dialogue and click ‘OK.'
  4. Click ‘Close’ to finalise the identification.
  5. It is essential that the patient has a verified email address, it can be added at this stage if necessary.
  6. You can amend which functions the patient will have access to, then ‘Create Online Account.’
  7. A linking document will be created and should be printed and handed to the patient. Note that a verified email address is essential for the patient to complete the sign up process

**An important feature to note is that in order for a patient to see their medical record you must add the code ‘#93440’ and ‘#91B’ to their record.

a.             Browse to Modules -> Consultation Manager

b.             Add Read Code -> OK

c.             Save all changes

  1. From ‘Registration’ find the patient you want to reprint details for.
  2. Select the Online Services tab.
  3. Click the ‘Reset Online Account’ button.
  4. Print or email the new codes, as appropriate.

You may have configured your practice for Patient Facing Services, however you can configure the settings for individual patients to increase or decrease their level of access. It is important to note that any patient-wide configurations will supersede any patient level configurations.

  1. Open the ‘Registration’ dialogue and search for the patient.
  2. Click on the ‘Online Services’ tab.
  3. Enable the functions by ticking the required functions.
  4. Click ‘OK’ to accept the changes and close the dialogue.

For Vision practices, patients can use Online Registration to partially link their Evergreen Life account to your practice without the need for codes. This allows the patient to view restricted services and book one appointment. You will need to change the patient from a restricted to an active user to provide the patient will full access.

  1. Open the registration module and find the patient.
  2. Verify their identity and record this in the ‘Online Services’ tab.
  3. Click on ‘Upgrade OSU account.’
  4. Check that the functions available are as desired and click ‘OK’ to save.
